Equality California Institute is a 501(c)(3) organization that has a parallel mission to Equality California, its 501(c)(4) counterpart. Equality California Institute works to achieve full, lived LGBTQ+ equality by reducing disparities in LGBTQ+ health and well-being, developing a pipeline of LGBTQ+ leaders and increasing civic participation within the LGBTQ+ community.
POSITION SUMMARY
The Events Associate will support the development department in the administration and
production of all fundraising and donor engagement events. The person in this role will be
integral to the execution of six major annual gala events plus additional smaller events
throughout the year, with primary responsibilities including guest list management, ticket and
table sales tracking, and payment collection. The Events Associate will work directly under the
supervision of the Associate Director of Events & Sponsorships, while providing assistance to
the development department based on need. Occasional evening and weekend hours and
travel are required.
RESPONSIBILITIES
- Track and maintain guest lists and RSVPs for events ranging from 200 – 1,200 guests
using EQCA’s event management software and additional tracking documents. - Process gifts and sponsorships for multiple events simultaneously.
- Communicate effectively with sponsors and guests in the lead up to events.
- Build and maintain event websites, ticketing sites, and collateral materials with listings and correct logos.
- Track and process vendor invoices.
- Maintain events calendars.
- Coordinate volunteer outreach and assist with volunteer management during events.
- Oversee check-in and registration at events.
- Assist with on-site event logistics and duties including setup, tear-down, and other required event details.
- Produce post-event reports and gift acknowledgements.
- Support the development team on smaller cultivation dinners, brunches, happy hours, etc. as needed.
- Other duties as assigned.
KEY EXPERIENCE QUALIFICATIONS AND SKILLS
What you’ve accomplished (required):
- 1-2 years experience working in events with 500+ guests.
- Strong administrative skills, including the ability to work independently, prioritize work and remain flexible on multiple simultaneous projects.
- Demonstrated computer competency and knowledgeable of Microsoft Office and Google Drive. The ability to learn new software systems.
- California driver’s license, insurance, and regular and reliable access to a car.

COMPENSATION & BENEFITS
$25/hr – This part-time hourly non-exempt position will require a flexible schedule including evening and weekend work time, as well as regular travel across California and Nevada. Applicants will be reimbursed for mileage and must have a reliable vehicle and be able to drive in California. At this time, staff based in the Los Angeles office have the option to work from home two days per week.
