Salary Range: $30.42 – $36.40 hourly commensurate with experience

Position Overview:
We are seeking a motivated and detail-oriented Associate to join our dynamic team. The ideal candidate will play a crucial role in providing exceptional guest services and supporting various event planning initiatives. This position requires strong organizational skills and the ability to communicate effectively with clients and team members. The Events Associate will support the development department in implementing, administrating, and producing all fundraising and donor engagement events. This role is integral to the execution of all major annual gala events plus additional smaller events throughout the year. The Events Associate will work directly under the supervision of the Associate Director of Events and Sponsorships while assisting the Development Department based on need.
Essential Duties:
Lead development and submission of grant proposals and reports that garner sizable support from foundations. This work includes:
- Track pledges and payments of tickets and table sales, and process gifts and sponsorships for multiple events simultaneously noting important details like contact information and attributions.
- Track and maintain guest lists and RSVPs for events ranging from 200 – 1,200 guests using EQCA’s event management software and additional tracking documents.
- Oversee check-in and registration at events ensuring all guest attendance is documented.
- Communicate effectively and efficiently across multiple systems (e.g., email, phone, etc.) with sponsors and guests in the lead-up to events.
- Build and maintain event websites, ticketing sites, and collateral materials with correct name listings and logos.
- Track and process vendor invoices.
- Maintain events calendars and schedule meetings as needed.
- Manage research projects for the events team as assigned.
- Coordinate volunteer outreach and assist with volunteer management during events.
- Attend and work on all development events, including all the Equality Awards, as scheduled.
- Assist with on-site event logistics and duties including setup, tear-down, and other required event details.
- Produce post-event reports and gift acknowledgments.
- Support the development team on smaller cultivation dinners, brunches, happy hours, etc. as needed.

Required Skills and Abilities
- Demonstrate a strong passion for LGBTQ+ equality and social justice.
- 1-2 years of experience working in events with 500+ guests.
- Highly developed organizational skills with extreme attention to detail.
- Effective interpersonal skills.
- Excellent time management skills.
- Ability to juggle competing demands, use good judgment, and achieve results in a fast-paced, high-pressure work environment.
- Strong administrative skills, including the ability to work independently, prioritize work, and remain flexible on multiple simultaneous projects.
- Demonstrated computer competency and knowledge of Microsoft Office and Google Drive.
- Capable of learning new software systems.
- Second language fluency is a plus.
Education
Experience in lieu of education is acceptable.
Travel
This role requires travel and overnight stays for events in California and Nevada. Some driving for business may be required. You must possess a valid driver’s license and personal auto insurance coverage.
