POSITION SUMMARY

Equality California is hiring an experienced Executive Assistant and Board Liaison to provide high-level administrative support to the Executive Director and serve as the primary administrative liaison to Equality California and Equality California Institute’s Boards of Directors, Board of Advisors and Executive Director’s Council. In addition, the Executive Assistant and Board Liaison helps coordinate board committees, including but not limited to: Governance, Development, Finance, Audit and Ad Hoc committees. The Executive Assistant and Board Liaison provides comprehensive administrative support with the highest level of professionalism, confidentiality and discretion, for the Executive Director and Boards.

This position is often the first impression of the organization to many key stakeholders, communicating via phone, email, and in person to help maintain fluid and professional relationships for EQCA/I. This position performs a wide variety of important, complex and sensitive administrative assignments that support the management team in executing governance and operations of organization. The Executive Assistant/ Board Liaison reports directly to the Executive Director.

RESPONSIBILITIES

The Executive Assistant/Board Liaison primary responsibilities include:

Executive Assistant

  • Proactively supports the Executive Director with administrative duties and manages the Executive Director’s calendar to ensure relevant stewardship of all key stakeholders both locally, regionally, and nationally. This includes coordinating multiple internal and external calendars and setting and enforcing priorities and standards.
  • Calendars and coordinates all meetings and keeps the Executive Director informed of any changes.
  • Coordinate and provide briefings and agendas for the Executive Directors’s appointments.
  • Manages Executive Director’s expenses including organizing receipts and submitting for reimbursement.
  • Schedule meetings, speaking engagements, travel itineraries, and in some cases personal appointments and events to efficiently manage the Executive Director’s time.
  • Works in partnership with the Executive Director, Chief Financial Officer and Director of Development to ensure effective management and support for EQCA/I revenue goals. This includes managing relationships with donors and helping to maintain a focused development agenda throughout the year.
  • Prepares written reports, memos and other documents for internal and external purposes.
  • Handles sensitive and extensive confidential data. 
  • Other duties as assigned.

Board Liaison

  • Builds and maintains strong working relationships with the Executive Director, Executive Committee of the Board, and other employees. Interfaces with and provides general support to the Board of Directors and Board of Advisors.
  • Serves as the Board liaison with high-level administrative tasks, which include meeting logistics, agenda development, scheduling, delivering of information packets, and ensuring that the Board records, correspondence, minutes and activities are maintained. 
  • Serve as the main point of contact for managing, facilitating, and coordinating logistics for all Board-related meetings and events. Creates and maintains the Board of Directors and Board committees’ annual calendars.
  • Distributes all Board and Board committee meeting reminders, agendas, reports, special mailings and other necessary documents that ensures effective communication. Attends and takes minutes at all Board and Board Committee meetings and provides minutes and recap to all appropriate people. 
  • Coordinates with the EQCA/I management team in scheduling events and activities that involve the Executive Director, the Board of Directors, and/or other community stakeholders.
  • Coordinates and actively participates in the orientation of new Board members, officers, and committee chairs; Coordinates Board member off-boarding
  • Prepares Board documents including memos and reports and organizes logistics for all board meetings and retreats.
  • Works with the Executive Director to review and maintain by-laws and other governance documents; and supports them in the on-going review of Board committee roles, responsibilities, and structure to ensure clarity, accountability, and effectiveness
  • Meet regularly with appropriate Board Committee staff. Ensure that board and committee work follows a calendar of annual activities to fulfill governance responsibilities, is well-documented and appropriately archived
  • Other duties as assigned

KEY EXPERIENCE QUALIFICATIONS AND SKILLS

  • An understanding of and strong commitment to the mission of the organization and proven ability to work effectively across cultures, positions, and industries with the highest degree of professionalism and grace.
  • Detail-oriented with excellent planning and organizational skills.
  • Ability to prioritize, work efficiently and meet deadlines.
  • Capacity to work outside normal business hours to meet the stewardship needs of the organization.
  • Excellent oral and written communication skills, including ability to write and edit memos, reports, e-mails, agendas, minutes, etc.
  • Demonstrated executive support and experience working with a Board of Directors/Governing Board, preferred.
  • Demonstrated ability to maintain confidentiality and discretion.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint and Outlook), required. 
  • Must be willing and available to work evenings and weekends according to event-related scheduling.
  • Bachelor’s degree or equivalent relevant experience, preferred.
  • Ability to handle sensitive and extensive confidential data. 

COMPENSATION & BENEFITS

This is a full time position with a salary range of $70,000 – $80,000 commensurate with experience and includes competitive benefits (healthcare, dental, vision, long/short term disability, life insurance and 401K). This full-time exempt confidential position will require a flexible schedule including evening and weekend work time for Board meetings, as well as travel across California and sometimes, Nevada.

POSITION SUMMARY

Equality California is hiring an experienced, high-performing Legislative Director to lead the organization’s state legislative advocacy and government affairs in Sacramento. The Legislative Director will lead the organization’s state policy, budget and administrative advocacy in Sacramento, including collaborating with legislative offices to pass sponsored and supported pro-equality legislation, analyzing and tracking pro-equality and anti-LGBTQ+ proposals, managing the organization’s partnership with the Legislative LGBTQ Caucus on key priorities and initiatives and serving as Equality California’s primary liaison to the California Legislature, the Governor’s Office and other state constitutional officers, departments and agencies.

The Legislative Director will report to the Managing Director of External Affairs and will manage a Legal Fellow. Additionally, the Legislative Director will work closely with Equality California’s outside policy advisor/contract lobbyist.

The ideal candidate must have exceptional analytical skills, expertise in LGBTQ+ policy issues — including health, education, and justice reform — and significant legislative advocacy and/or management experience. A law degree and/or experience working for a California legislator are preferred but not required.

KEY EXPERIENCE QUALIFICATIONS AND SKILLS

What you’ve accomplished (required):

  • Bachelor’s Degree in political science, public policy, or related field. (Law Degree preferred.)
  • At least 4 years of legislative advocacy and/or management experience
  • Ability to independently analyze complex proposals and develop recommendations
  • Excellent written and verbal communication skills
  • Strong decision-making skills and sound judgment
  • Detail oriented, logical, and methodological approach to problem solving

Other things you might have accomplished or would be excited to learn here:

  • Demonstrated experience providing vision and leadership
  • Excellent interpersonal skills – ability to relate to individuals at all levels from diverse backgrounds
  • Experience working in the California Legislature, either for a member or as a legislative advocate
  • Experience managing diverse coalitions of stakeholders, such as social justice organizations, community leaders, local government, trade organizations, religious groups, public defenders, and law enforcement
  • Supervisory experience

Skills you have developed and knowledge you have acquired:

  • Ability to adapt to the needs of the organization and employees
  • Ability to prioritize tasks and delegate them when appropriate to meet deadlines and expectations
  • Excellent oral and written communication skills, including leading meetings with key stakeholders and presenting in front of large groups of people
  • Proficiency in Microsoft Office, Google Workspace, and legislative tracking platforms
